The Canon imageRUNNER ADVANCE 3000 series printers offer a convenient scan-to-email feature that lets you directly scan documents and send them through your Gmail account. This article guides you through the setup process. P.S. I have tested with Canon iR ADV 3520i, 3720i and 3822i.
Step 1: Prepare Your Gmail Account
Create a separate Gmail account for setting up the printer(s). Now, please proceed with the following instructions below:
Enable Less Secure Apps: Gmail blocks less secure apps by default. To allow your Canon printer to send emails, you need to enable access:
- Go to your Google Account settings and ensure you are logged in with the correct Gmail account.
- Navigate to the Security section
- Please scroll down to Less Secure App Access and turn it on. If you do not find it, you are using the 2-Step Verification and have to Generate an App Password
Generate an App Password (if 2-Step Verification is enabled)
- While you are in the Security section, click on 2-Step Verification
- After Signing in to Google, select App Passwords and click on the “>” Right Arrow as shown in the image below

- Provide a Custom name with “Canon Printer” or whatever name you like and click Create
- Note: the 16-digit password provided, please keep it somewhere safe as you will need this in place of your regular Gmail password during the printer setup

Step 2: Configure the Printer’s Network Settings
Connect the Printer to Your Network
- Ensure your Canon 3000 series printer is connected to the same network as your computer
- You can use either a wired (Ethernet) or wireless connection. Follow the printer’s user manual to connect to your network if you haven’t done so already
Step 3: Access the Printer’s Web Interface
- Find the Printer’s IP Address
- On the printer’s control panel, navigate to the network settings to find the IP address. This is usually found under Menu > Network Settings > IPV4 Address. (Ex: 192.168.92.100)
- Open the Web Browser
- Enter the printer’s IP address into the address bar of a web browser on your computer
Step 4: Set Up Scan to Email
- Login to the Printer’s Web Interface:
- Use the default admin credentials (if required)
- Navigate to Email Settings
- Go to Settings/Registration
- Under Function Settings > Send
- Click on E-Mail/I-Fax Settings or Network Settings – E-Mail/I-Fax Settings that appear depending on the printer model
- Configure SMTP Server
- Set the SMTP Server Address to
smtp.gmail.com
- Set the SMTP Port Number or SMTP TX to
587
- Enable Use/Allow TLS for SMTP or SMTP TX
- Enable Use/Allow SMTP for Authentication (SMTP AUTH)
- Set the SMTP Server Address to
- Enter Authentication Information
- Set the Email Address of your newly created Gmail address
- Enter the SMTP Auth Username (your full Gmail address)
- Enter the SMTP Auth Password (the app password generated or your regular Gmail password if less secure apps are enabled)
- Important Note: Please remove all the gaps between the generated password before using it
- Now check the connection. If everything is okay then it will show a message something like: “Connection to the server was successful“. Otherwise, you have to check for any typos or other issues.

- Save Settings:
- Ensure all information is correct and save the settings.
Step 5: Test the Configuration
- Load a Document:
- Place a document on the scanner bed or in the document feeder.
- Scan and Send:
- Use the printer’s control panel to navigate to the scan function.
- Select the option to send to email and enter the recipient’s email address.
- Press Start to scan and send the document.
- Check Your Email:
- Verify that the email has been sent and received successfully.
Useful Tip: If 2-Step Verification is enabled, you must create separate passwords for each printer.
Troubleshooting Tips
- Check Network Connection: Ensure the printer is properly connected to your network.
- Verify SMTP Settings: Double-check that the SMTP settings, especially the server address, port, and authentication details, are correct.
- Firewall and Security Settings: Make sure that your network’s firewall or security settings are not blocking the printer’s access to the internet.
- Update Firmware: Ensure your printer’s firmware is up-to-date to avoid compatibility issues.
